Common bottlenecks in business services

For business service providers, such as consultancies, accountancy firms and legal and HR service providers, Kantex automates the work around case files, documents and client contact. We build client portals, connect practice management and accounting software, and use AI to read documents and search your own knowledge, with care for confidentiality.

You sell knowledge and time. Yet a large part of the week goes on the work around it: requesting documents from clients, sorting paperwork, accounting for hours and answering the same questions. And because confidential information is involved, every solution has to handle data with care.

  • Chasing documents

Clients send documents by email, via WeTransfer or on paper. Keeping track of what has arrived and what is still missing is done with lists and reminder emails.

  • Knowledge lives in heads and folders

Previous advice, templates and internal agreements are scattered across drives and mailboxes. New colleagues ask around, experienced colleagues look it up.

  • Hours and invoicing do not match

Hours are logged in one system and invoiced in another. Month-end close means exporting, comparing and correcting.

Frequently asked questions about software for business services

Can’t find your question? Email sales@kantex.nl and we will reply within one working day.

How does Kantex handle confidential client data?

We agree in advance which data an application processes, where it is stored and who has access to it. Access rights follow your own organisation, data is encrypted in transit and at rest, and important actions are logged. Where needed we sign a data processing agreement, so the arrangements under the GDPR are clear.

Can AI work with our own documents without them leaking?

Yes, provided you make proper agreements about it. We choose models and providers that offer business terms and do not train on your data, preferably with processing within the EU. The assistant only shows information the user already has access to, and cites the source with every answer.

Is a client portal not too big for a firm of our size?

Not necessarily. A portal can start small, for example with just document uploads and an overview of what is missing. If that works, you can later add messaging, status information or signing. Our advice is to start with the part that costs the most time today.
